ARCHIVES COMMITTEE
(Approved August 10, 1997, Revised December 14, 1999)

Goal: Collect and Organize material for an ongoing historical record of the UUUS.

Tasks:  

  1. Maintain a journal containing all issues of the "Connection" newsletter.
  2. Coordinate picture taking and/or video taping at all UUUS Functions.
  3. Gather newspaper articles, pictures, and memorabilia concerning the UUUS and its members and organize into a Scrapbook.

AESTHETICS COMMITTEE
Approved December 14, 1999

Goals: Aesthetics Committee is committed to proactively assisting all offers of contributions for both interior and exterior of the building(s) including the site, where feasible. The committee shall select or approve of equipment, materials, furniture and furnishings for the church and present their recommendations to the Board. The Committee will review or recommend selections, finishes, textures, colors and design.

Tasks: Hold Meetings with a recorded Agenda and meeting minutes as a requirements when making these most "important decisions". Observe first hand all Equipment, materials, product literature and cost before selection. If necessary, visit the suppliers of such items. Before approval, determine where the funds will be obtained. Work with other members and/or committees that may be involved in the decision making process. Assemble information and/or exhibits for the raising of "major funds" for the purchase of items and/or services required. Record any donations and/or Gifts that may be received with the name of the donor. Submit the status of projects and fund raising to the Connection newsletter for publication. Work with the Finance Committee and recommend an appropriate Annual Budget (September).


CARES AND CONCERNS COMMITTEE

Goals: Identify UUUS Members and Friends, who are in need of special loving assistance and to arrange to have that assistance.

Tasks:

    1. Identify those who are sick, bereaved or enduring other personal difficulties.
    2. Make announcements at Sunday Services and write newsletter articles as appropriate.
    3. Coordinate cards, flowers and gifts for those in need as appropriate.
    4. Arrange visits and/or communication between UUUS Members and those in need.
    5. Recommend an Annual Budget for Cares and Concerns activities to the Finance Committee. (September)
    6. Get the Information to the Newsletter.

    DENOMINATIONAL AFFAIRS COMMITTEE
    (Approved August 10, 1997) (Revised December 14, 1999)

    Goals:  Keep UUUS Members informed of and participating in Cluster, District and UUA activities.

    Tasks:

    1. Attend Cluster Meetings and report to UUUS Congregation.
    2. Encourage and Coordinate UUUS Members attendance at Florida District functions, workshops and meetings.
    3. Keep UUUS informed of and encourage attendance at UUA General Assembly meetings.
    4. Encourage UUUS Members to serve on District and UUA Committees
    5. Develop an Annual budget for Denominational Affairs activities for recommendation to the Finance committee. (September)

    FACILITIES COMMITTEE

    Goal: Maintain physical facilities to serve the Sunday Services and other UUUS Function.

    Tasks:

    1. Set up meeting room for Sunday Services.
    2. Cleaning and maintenance of building and grounds.
    3. Maintain Sound System and other UUUS owned equipment. Recommend and acquire improvements when necessary. Operate sound system and tape the programs.
    4. Assure that the facilities are secure.
    5. Coordinate contractors for repairs and maintenance.
    6. Recommend Annual Budget for Facilities to Finance Committee. (September)

    FINANCE COMMITTEE
    (Approved August 10, 1997) (Revised December 14, 1999)

    Goal:  Prepare Annual Budget, oversee the Work of the Treasurer and detect potential financial problems. The President and Treasurer shall be members of the committee, together with at least one other member, in addition to the Chair.

    Tasks:

    1. Contact Committee Chairs to identify Committee budget needs. (September)
    2. Prepare Annual Budget for consideration of the Board of Trustees. (October)
    3. Monitor the Work of the Treasurer.
    4. Conduct Audit of UUUS Treasury annually (December) and upon change in Treasurers.
    5. Inform the Board of Trustees of occurring and potential problems concerning UUUS Finances.

    HOSPITALITY COMMITTEE
    (Approved August 10, 1997) (Revised December 14, 1999)

    Goal:  Arrange social events that bring members of the UUUS together to socialize and get to know each other better.

    Tasks:

    1. Provide coffee and refreshments for the congregation and snacks for the RE program each Sunday.
    2. Coordinate Circle Dinners, Picnics, etc.
    3. Provide refreshments for other UUUS programs as appropriate (coordinate with Program Committee).
    4. Recommend Annual Budgeting requirements for Social Activities to Finance Committee. (September)
    5. Get the Information to the Newsletter.

    MEMBERSHIP COMMITTEE
    (Approved August 10, 1997) (Revised December 14, 1999)

    Goal:  To make newer people feel welcome to the point where they wish to get involved with the UUUS and to keep the Members and Friends current with Membership Information.

    Tasks

    1. Welcome guests at Services and follow up with telephone call and/or letter during week. Have Introduction Materials available at Services for guests. Identify and instruct Greeters for Sunday Service.
    2. Make sure New Members and Friends are recognized and provided a new member packet during a Service within one week after signing the book. Recognize the New Members in the "Connection" newsletter. Update new member packets periodically.
    3. Work with Program Committee to set up periodic New Member Services.
    4. Maintain a database of all members, friends and others. Provide mailing list to Newsletter Committee for distribution of the Connection. Provide an updated Membership Directory to all Members and Friends at least annually.
    5. Announce periodically at a Service, how to join the UUUS by signing the Membership Book.
    6. Work with Cares and Concerns Committee to identify and contact "missing members" to determine their continued interest and affiliation with UUUS.
    7. Maintain and distribute a "telephone tree" for expediting urgent or significant communications with members.
    8. Attract new members by encouraging, sponsoring and participating in relevant activities that promote awareness of our Society and its values, such as Campus Ministry, discussion forums, and circle dinners.
    9. Recommend Annual Budgeting requirements for Membership materials and expenses to finance Committee. (September)

    MUSIC COMMITTEE
    (Approved August 10, 1997) (Revised December 14, 1999)

    Goals:  Arrange for music at Sunday Services and other UUUS functions as appropriate.

    Tasks:

      1. Coordinate with Program Committee to identify music needs and special requirements for Sunday Services.
      2. Coordinate music at Sunday Services.
      3. Identify and coordinate live music for special occasions.
      4. Coordinate with Program and Religious Education committees for Special Programs such as Christmas, Easter, Halloween etc.
      5. Monitor the interest in having a singing group or other performance group.
      6. Work with the Finance Committee to establish an appropriate Annual Music Committee Budget (September).

    NEWSLETTER COMMITTEE (Subcommittee of Public Relations)

    Goals:  Produce and Distribute the monthly newsletter, "The Connection" to communicate with Members and Friends and others items of interest to the UUUS.

    Tasks:

      1. Collect Calendars, Articles and other appropriate information for the newsletter.
      2. Assemble information into an attractive and informative format.
      3. Make appropriate copies for distribution.
      4. Assist the Membership Committee in maintaining the database for purposes of mailing the Connection. The Mailing list will include members, friends, other financial supporters, recent visitors, new prospects and other appropriate UU organizations.
      5. Assist the Membership Committee in maintaining a list of 50 to 100 names from recent visitors and other new prospects These names will be included in the mailing list and updated every three months.
      6. Assemble newsletter for bulk mailing and mail.
      7. Provide a copy of each newsletter to the Archives Committee for permanent file.
      8. Identify the monetary requirements for the newsletter and work with the Finance Committee to establish an appropriate annual budget (September).

    NOMINATING COMMITTEE
    (Approved August 10, 1997,  Revised December 14, 1999)

    Goal:  Identify qualified candidates for UUUS Officers and Board of Trustees. Two members of the committee shall be nominated by the previous committee and accepted by the congregation. The President shall appoint a third member.

    Tasks:

      1. Interview and evaluate potential Candidates for Officers and Board of Trustees. (October)
      2. Present a list of Candidates for Consideration at the UUUS Annual Meeting. Create a list of potential candidates for the following year. (November)
      3. Present a list of two Candidates for the next year’s Nominating Committee at the May Quarterly congregational Meeting.

    PLAYGROUND COMMITTEE
    Approved December 14, 1999

    Goal:  Design, build and maintain playground area.

    Tasks:

    1. Remove from playground area any safety hazards such as underbrush and debris.
    2. Select type of perimeter fencing, fencing of a/c, ground cover and playground equipment.
    3. Research safety requirements for all playground equipment, ground cover and any other structures and items that are within the playground area.
    4. Obtain bids for each new addition.
    5. Submit plans for changes or additions to the landscaping and fencing of the playground to the Aesthetics Committee for approval.
    6. Schedule workdays for changes and additions.
    7. Recommend Annual Budgeting needs for building and maintaining playground to Finance Committee. (September)

    PROGRAM COMMITTEE

    Goal:  Plan, Arrange and Execute Sunday Services.

    Tasks: 

      1. Identify Sunday and other Program Topics.
      2. Identify and arrange for speakers.
      3. Identify and instruct Service Leaders.
      4. Coordinate chalice table volunteers.
      5. Coordinate with Music Committee for Sunday and other services or programs.
      6. Coordinate with Religious Education Committee for youth participation in Sunday service or other programs.
      7. Coordinate with Hospitality Committee for special services or programs.
      8. Coordinate special services, i.e. Child Dedication, Wedding, or Memorials.
      9. Prepare Sunday Bulletins. Maintain a file of bulletins.
      10. Monthly, Assemble program information for The Connection.
      11. Work with Membership Committee to set up periodic New Member Services. Determine Program Activities financial needs and recommend Annual Budget requirements to the Finance Committee. (September)

    PUBLIC RELATIONS COMMITTEE

    Goal:  Make UUUS Activities known to the public in Central Florida and to other UU’s though out the Florida District.

    Tasks:

      1. Identify and coordinate advertising campaign with area newspapers and other publications.
      2. Maintain phone number for the public to inquire about the UUUS.
      3. Coordinate with Membership Committee, to develop, acquire and distribute appropriate UU introductory materials for those who inquire about the UUUS.
      4. Coordinate with Program Committee to prepare flyers and other advertising devices for special UUUS programs.
      5. Write and distribute Press Releases describing interesting activities and facts about the UUUS for area newspapers and UU Florida District announcements and newsletters.
      6. Prepare and distribute newsletter.
      7. Prepare and maintain Website.
      8. Develop an appropriate Public Relations Budget and make recommendations to the Finance Committee (September).

    RELIGIOUS EDUCATION COMMITTEE
    (Approved August 10, 1997, Revised December 14, 1999)

    Goal: Coordinate a lifespan religious education program for both children and adults of the UUUS family.

    Tasks:

      1. Select & Recommend RE Director Candidates for Board of Trustees approval.
      2. Create and maintain a vision for the Religious Education Program by engaging in such activities as goal setting and curricula selection.
      3. Monitor Sunday RE classes, infant babysitting, and 2nd hour playground supervision activities.
      4. Coordinate with Program Committee for special functions in which the Children participate such as Christmas, teacher recognition and Halloween programs.
      5. Monitor the conditions of classrooms before and after classes. Coordinate with the Facilities Committee and playground committee to address all deficiencies.
      6. Get Information to the Newsletter.
      7. Determine RE Program Financial needs and recommend Annual Budget to Finance Committee. (September)

    SOCIAL CONCERNS COMMITTEE
    (Approved August 10, 1997, Revised December 14, 1999)

    Goal: Bring local, regional and worldwide social issues to the attention of the UUUS and identify meaningful way for the UUUS to contribute.

    Tasks:

      1. Identify and review sources of information for social causes.
      2. Review Florida District and UUA information on social issues.
      3. Bring pertinent issues to the attention of the UUUS through announcements and newsletter articles.
      4. Identify and coordinate social projects which UUUS members and/or the Congregation as a whole can participate.
      5. Get Information to the Newsletter.
      6. Recommend Annual Budgeting for Social Concerns matters to the Finance Committee. (September)

    WEBSITE COMMITTEE (Subcommittee of Public Relations)
    (Approved December 14, 1999)

    Goals:  Establish and maintain the UUUS Website. Provide a Web presence that is a warm, informative and positive interface with both members and the public.

    Tasks:

      1. Update and maintain the web content. Create new web pages and delete outdated or useless web pages.
      2. Update at least monthly the general content of the website.
      3. Coordinate with Public Relations Committee.
      4. Interface with all other committees regarding their efforts and presence on our Website.
